This information is collected directly from you or, where appropriate, from your referring GP or healthcare provider with your consent.

All client information is stored securely using a trusted Practice Management System that is:

  • ISO27001 certified for information security

  • Compliant with the UK GDPR

  • Compliant with the Australian Privacy Act 1988 (Cth)

Access to your information is strictly limited to authorised clinicians at Syné Collective, and protected by industry-standard encryption, access controls, and regular security audits.

3. Use of AI for Notetaking & Workflow Optimisation

Our Practice Management System includes inbuilt AI features to assist with clinical notetaking and workflow optimisation. These tools help us:

  • Maintain accurate and clear documentation

  • Reduce administrative overhead

  • Ensure consistency and continuity of care across sessions

These AI features are embedded within our secure system and do not involve third-party data training or external data sharing. Your information remains encrypted, private, and accessible only to your therapist.

You may request a transcript or summary of your session at any time. We support your right to transparency and access to your own therapeutic journey. Technology is used solely to enhance—not replace—the human element of therapy.

4. Other Technologies We Use

To support communication and operations, we also use:

  • Google Workspace: For email and internal administrative communication

  • Wix: For hosting our website and optional mailing list forms

We will only add your personal details to our mailing list with your explicit consent. This is typically collected via the website or intake process.

Please note:

  • All bookings, session notes, and clinical communication are handled exclusively through our secure Practice Management System.

  • No health information is stored on Wix or Google Workspace unless it is part of a direct client inquiry (e.g., an initial email).

5. Why We Collect Your Information

We collect and hold personal information for the purpose of:

  • Providing safe, ethical, and effective counselling and psychotherapy

  • Communicating with you about your care

  • Managing appointments and payments

  • Meeting legal and professional obligations

We do not use your information for direct marketing, and we never sell your data to third parties.

6. Disclosure of Information

Your information will never be shared without your consent except where:

  • There is a serious and imminent risk to your safety or the safety of others

  • Required by law (e.g. subpoenas, mandatory reporting)

  • Necessary to coordinate care with other healthcare professionals (with your consent)

  • Access the personal information we hold about you

  • Request corrections to inaccurate information

  • Request a transcript or summary of your sessions

  • Withdraw consent for the collection or use of your data, subject to legal and ethical obligations
